We collect information necessary for the proper functioning, security, and improvement of our services. The data we collect includes:

• Automatically Collected Data: User identifiers (such as Discord user IDs), server identifiers, command usage data, interaction logs, and basic website analytics.
• Directly Provided Data: For Appointment Scheduling, we collect your name, email address, meeting topic, and preferred date/time. For Contact Requests, we collect your name, email, subject, and message to respond to your inquiries.
• OTP Email Verification: We require email verification via OTP before you can submit a proposal, book an appointment, or submit payment proof to ensure the integrity of transactions.
• Authentication & Profile Data: When you sign in via Google to leave a public review, we collect and store your public profile information (Name, Email Address, and Profile Avatar) to associate with your review.
• Billing & Payment Proof Data: When tracking invoices and submitting payment proof, we temporarily collect your Transaction Reference Number and the Sender Name used for your transfer to verify the transaction. We do not permanently store these reference numbers or proof of payment once verified, and we never collect automated financial data (like credit card numbers).

We do not collect personally identifiable information beyond what is strictly required for service operation.

3. Use of Information

The information we collect is used exclusively to provide, maintain, and improve our services. We require personal information and OTP email verification for the following critical reasons:

• Identity Verification & Fraud Prevention: OTP email verification ensures that project proposals, appointment bookings, and payment proofs are submitted by real people, preventing spam bots and fraudulent transactions.
• Communication & Deliverables: We need your verified email and contact information to send official invoices, payment receipts, meeting links, and final project deliverables.
• Service Reliability: Processing commands, scheduling appointments via the Ember Bot automation pipeline, and maintaining overall service stability.
• Compliance: Preventing abuse and ensuring compliance with our Terms of Service and Discord's guidelines.

We may also use aggregated, anonymized data for statistical analysis and service improvement; however, this data cannot be traced back to individual users.

4. Data Sharing & Disclosure

We adhere to a strict privacy framework. We never sell, trade, or share personal data with third parties for marketing purposes. Your data may only be shared with trusted third-party service providers (such as Google Calendar for appointments, or our hosting infrastructure) strictly for the purpose of facilitating the services you request, and only to the extent necessary.

5. Tracking Technologies, Security, & Cookies

Bonfire Base Studio services use cookies and similar technologies for essential functionality, security, and analytics. We use Google Analytics, Microsoft Clarity, and Microsoft Advertising to capture how you interact with our website through behavioral metrics, heatmaps, and session replay to improve our products. Additionally, we use Cloudflare Turnstile across our forms (such as contact and checkout) to prevent automated spam. Cloudflare collects technical device telemetry to verify that you are a human.
